While preparing for one of the conferences where we supported the organizers with simultaneous interpretation, we identified an opportunity to improve the organization of the catering area. During the agenda review, we noticed several potential issues and proposed adjustments to enhance the guest experience. Our goal was to ensure that participants could fully enjoy the event without long wait times or limited access to the full menu.
Enhancements we suggested to the client and catering team:
- Better buffet area organization – the original food setup would have caused long queues, extending breaks and potentially preventing some participants from accessing the buffet. We proposed multiple food stations instead of a single long line, which significantly reduced wait times and ensured that everyone had access to the full menu.
- Menu tailored to participants – we noticed that the small tasting portions initially planned would not satisfy attendees, leaving them hungry and unfocused. To address this, we suggested more filling and balanced meals, which improved participant satisfaction and engagement.
- Optimized beverage service schedule – the initial event plan included alcoholic beverages too early, which could have impacted the next day’s training sessions. We recommended adjusting the evening dinner schedule to ensure that participants could fully benefit from the following day’s program.
Thanks to these adjustments, breaks ran smoothly, and all guests had satisfactory access to meals. The organizers appreciated our flexibility and commitment, not only in interpretation services but also in enhancing the overall conference experience.
